Ordering for Luxembourg: VAT, lead times, transport
A Luxembourg company ordering from a Belgian workshop is not importing anything: it is an intra-EU supply, with no customs and no Belgian VAT. Here is what to know before you order, and what to send us.
No customs, no formalities
Belgium and Luxembourg share the same single market: a parcel from Liège to Luxembourg City travels like a parcel to Namur. No declaration, no duty, no hold-up at the border.
The only difference is transport, charged by weight and volume and shown on the quote before you confirm.
VAT: reverse charge for companies
If your company has a valid intra-EU VAT number, the invoice leaves without Belgian VAT: you declare the tax in the Grand Duchy. This is called the reverse charge, and it is the normal regime between VAT-registered businesses in two member states.
Three conditions, all checkable: the number must be valid on the date of delivery, it must appear on the invoice, and it must be possible to prove that the goods left Belgium. The transport document is enough, and we keep it.
For an individual, an association without a number or any structure that is not VAT-registered, Belgian VAT at 21 % applies as usual.
- Give us your VAT number when you order, not afterwards: it determines how the invoice is drawn up.
- Check that it is active in the VIES register: a suspended number turns the invoice into Belgian VAT.
- Your accountant remains the judge of your situation: we apply the rule, we do not advise on it.
Real lead times
Allow 2 to 7 working days of production after you approve the proof and payment is received, plus transport. What lengthens a lead time is almost never the marking: it is the availability of the garments, and approval of the artwork.
A tip for any team order: start collecting sizes as soon as the decision is made. That is what takes time, not the workshop.
What does not change on the other side of the border
Prices are the same as in Belgium, shown before you order. The minimum order stays at one piece. The approved file is kept: a reorder six months later goes out identically, with no new set-up.
On safety clothing the rule does not change either: we mark on neutral areas, and we refuse a placement that would take the garment out of its class.
Frequently asked questions
Do I have to pay customs duties?
No. Belgium and Luxembourg belong to the same single market: no duties, no declaration, no systematic checks. It is an intra-EU supply, not an import.
Does the invoice carry Belgian VAT?
Not for a company with a valid intra-EU VAT number: the delivery goes out under the reverse charge, and you declare the tax in the Grand Duchy. For an individual or a structure without a number, Belgian VAT at 21 % applies.
How much does transport to the Grand Duchy cost?
It depends on weight and volume: twenty parkas do not ship like five polos. It is priced on the quote before you confirm, and it does not go up afterwards.
Can I order a single piece from Luxembourg?
Yes, as from Belgium: the minimum order is one piece, marking included. Only transport makes a single piece less attractive than a combined shipment.
